We are looking for a qualified Executive Administrative Assistant located in Arlington, VA.

Position Description:

The Contractor shall provide professional-level administrative support to the Director of the Office of Local Defense Community Cooperation.

The Office of Local Defense Community Cooperation, in coordination with the other Federal Agencies, delivers a program of technical and financial assistance to enable states and communities to:

plan and carry out civilian responses to the workforce, business, and community needs arising from Defense actions;
cooperate with their military installations and leverage public and private capabilities to deliver public infrastructure and services to enhance the military mission, achieve facility and infrastructure savings as well as reduced operating costs; and,
increase military, civilian, and industrial readiness and resiliency, and support military families

Responsibilities and Duties:

Calendar Management - The contractor shall provide executive-level professional support to include forward-thinking, backward planning, and analysis of second and third-order effects, to oversee, manage, and de-conflict the Director’s calendar per the following:

Shall meet with the administrative team on a daily basis to ensure correspondence milestones and deadlines are annotated on the Director’s calendars, identify any meeting or logistical conflicts and to resolve any potential issues preventing the delay in meetings, review upcoming meetings, events, and other requirements that may require additional coordination, preparation, or otherwise

Records Management - Shall provide support for the management of electronic and paper files in accordance with NARA standards to ensure records remain compliant. The incumbent will assist in the management and maintenance of those records belonging to the Deputy Director’s and will be primarily responsible for the Director’s records

Office and HR Management – Will assist in the management and updating various Agency listings to include but not limited to phone rosters, COOP lists, Organizational charts, etc. ensuring records are maintained in accordance with Agency’s policy and correspondence procedures and will assist in the dissemination in accordance with OPSEC procedures and Information Assurance requirements.

Correspondence Management - assists in the proofreading and editing of all correspondence, documentation requiring Director’s, Deputy Director’s, and/or A&S signature, information in the inbox ensuring materials in the out-box have been properly distributed.

Travel Arrangements - support for the planning and logistical requirements pertaining to the traveling of the Director.

The Contractor will also serve as an alternate POC in the following additional functional areas:
Executive Assistant to the Deputy Directors: The incumbent will provide support to the Executive Assistant to the Deputy Directors in the event of absence and/or workload requirement support to ensure that the Deputy Directors are sufficiently supported.
Front Office Support: The incumbent will provide support to the front office assistant to ensure that the Agency’s operational requirements are addressed continuously.

Will act as the main point of contact for the Contracting Officer Representative and other government personnel.

Required Qualifications and Skills:

Secret (or higher) clearance from the Defense Industrial Security Office.
Proficient in Microsoft Office application software: e.g., Word, Excel, Project, and PowerPoint, etc.
At least 2-years of experience as an administrative assistant at the Executive level

Bachelors degree desired
DoD experience, preferably OSD-level
CATMS proficiency
Ability to multitask and prioritize tasks
Excellent time management skills
Well-developed organizational skills
Attention to detail
Great verbal and written communication skills
